Executive Assistant Responsibilities:
- Answering phones and routing calls to the correct person or taking messages.
- Making travel arrangements for executives.
- Helping to manage multiple calendars.
- Handling basic bookkeeping tasks such as executive expenses, etc.
- Filing and retrieving corporate records, documents, and reports.
- Processing invoices (logging details for payment, interfacing with vendors to verify payment instructions)
- Helping prepare for meetings (sending directions, ordering catering, drinks, cleaning)
- Greeting visitors and managing guests (office space, conference room coordination, etc)
- Using various software, the Microsoft Office Suite and other applications
- Analyzing incoming emails and/or calls and passing along to the appropriate person.
- Performing office duties that include ordering supplies and interfacing with building janitorial and maintenance services.
- Opening, sorting incoming mail.
- Provide general administrative support.
Executive Assistant Requirements:
- Executive Assistant experience is required.
- In-depth understanding of entire MS Office suite.
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast-paced quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Excellent verbal and written communications skills.
- A joyful, can do attitude.
- Willingness to learn and adapt.
