Executive Assistant Responsibilities:

  • Answering phones and routing calls to the correct person or taking messages.
  • Making travel arrangements for executives.
  • Helping to manage multiple calendars.
  • Handling basic bookkeeping tasks such as executive expenses, etc.
  • Filing and retrieving corporate records, documents, and reports.
  • Processing invoices (logging details for payment, interfacing with vendors to verify payment instructions)
  • Helping prepare for meetings (sending directions, ordering catering, drinks, cleaning)
  • Greeting visitors and managing guests (office space, conference room coordination, etc)
  • Using various software, the Microsoft Office Suite and other applications
  • Analyzing incoming emails and/or calls and passing along to the appropriate person.
  • Performing office duties that include ordering supplies and interfacing with building janitorial and maintenance services.
  • Opening, sorting incoming mail.
  • Provide general administrative support.

Executive Assistant Requirements:

  • Executive Assistant experience is required.
  • In-depth understanding of entire MS Office suite.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Excellent verbal and written communications skills.
  • A joyful, can do attitude.
  • Willingness to learn and adapt.
